This privacy policy explains how TicketSwap B.V. (“TicketSwap”, “we”, “us”, or “our”) processes personal data when  in our recruitment and selection process (“Applicants”).

TicketSwap is the data controller responsible for processing your personal data as described in this privacy policy.

3. Personal data we process

Depending on the role and stage of the recruitment process, we may process the following categories of personal data:

  • Identification and contact details (such as name, email address, phone number, address

  • Application information (such as CV, cover letter, portfolio, LinkedIn profile, references)

  • Recruitment process information (such as interview notes, assessment results, feedback)

  • Role-related information (such as work authorization, availability, salary expectations)

  • Communication data (such as emails or messages exchanged during the process)

  • Video and audio data, where interviews are conducted via video conferencing tools. Video interviews are not recorded, unless explicitly communicated to you in advance.

If you voluntarily provide additional information, we will process it in accordance with this privacy policy.

4. How we collect personal data

We collect personal data through:

Job applications submitted via our careers page or recruitment platforms

  • Direct communication with you (e.g. email, interviews)

  • Through interviews conducted via video conferencing tools

  • Recruitment agencies or referrals, where applicable (and permitted under applicable law)

  • Publicly available professional sources (such as LinkedIn)

5. Purposes of processing

We process your personal data for the following purposes:

  • Managing and evaluating your application

  • Communicating with you during the recruitment process

  • Assessing your suitability for current and future roles

  • Conducting interviews, assessments, and selection procedures

  • Improving our recruitment and hiring processes

  • Complying with legal and regulatory obligations

6. Legal bases for processing

TicketSwap processes personal data based on the following legal grounds under the General Data Protection Regulation (the “GDPR”):

  • Steps prior to entering into an employment contract

  • Legitimate interests, namely recruiting and selecting suitable candidates

  • Consent, where required (for example, retaining your data for future opportunities)

  • Legal obligations, where applicable

Where processing is based on consent, you may withdraw your consent at any time.

7. Automated decision-making

TicketSwap does not use automated decision-making or profiling that produces legal or similarly significant effects in the recruitment process.

8. Sharing of personal data

We may share your personal data with:

  • Internal teams involved in recruitment and hiring

  • Recruitment software and IT service providers acting as processors on our behalf

  • Recruitment agencies, where applicable in connection with your application

  • Legal or regulatory authorities, if required by law

All third parties are required to process personal data in accordance with applicable data protection laws and appropriate safeguards.

9. International transfers

If personal data is transferred outside the European Economic Area (EEA), TicketSwap ensures appropriate safeguards are in place (where required), such as standard contractual clauses approved by the European Commission.

10. Retention periods

We retain your personal data only for as long as necessary for the purposes described in this privacy policy.

You can request the deletion of your personal data at any time through the recruitment platform or by contacting recruitment. If you submit a deletion request, your personal data will be deleted within 14 days, unless we are legally required to retain it for a longer period.

If no deletion request is submitted, we retain personal data of applicants for a maximum of 180 days after the application date. This retention period allows us to properly manage and complete ongoing recruitment processes and to ensure that candidate profiles are not removed while an application is still under consideration.

After the applicable retention period has expired, your personal data will be automatically deleted, unless you consent to an extension of the retention period. We will only retain personal data for consideration for future roles if you have explicitly provided your consent. Without such consent, your personal data will be deleted in accordance with the retention periods described above.

Under the GDPR, you have the right to:

  • Access your personal data

  • Rectify inaccurate or incomplete data

  • Request deletion of your data

  • Restrict or object to processing

  • Request data portability

  • Withdraw consent at any time

  • Lodge a complaint with a supervisory authority
